Pilling Village Hall - Terms of Hire

 

1. The Hirer Shall:

1.1 Accept responsibility for being in charge of and be present on the premises at all times when anyone is present on the premises during the period of Hire.

1.2 Familiarise themselves with the location and operation of the electrical fuse box/main switch, fire alarm points, fire extinguishers, fire exits, evacuation procedure and keep all fire exits free from obstructions and ensure there is a method of accounting for the number of persons present during the period of hire.

1.3 Be liable for and indemnify PVH in respect of any loss, damage or injury incurred by, done to or happen to the Hirer or any person(s) in the employ or sub-contracted to the Hirer or by or to any other person(s) attending PVH and its curtilage, including car parking areas, by reason of using the premises hired by the Hirer.

1.4 At the expiration of hire period:

a) Vacate the premises otherwise an extra charge, at the published Hourly Rate, will be levied for each hour or part hour over the agreed hire period.

b) Leave the premises clean and tidy otherwise the Hirer shall pay all costs incurred in cleaning and tidying the premises.

Be responsible for:

a) Ensuring all terms under this agreement relating to management and supervision of the premises are met at all times.

b) Compliance, in line with Health & Safety and Safeguarding requirements and notices. Guideline and procedures documents are available on request to assist users and hirers in fulfilling their Health & Safety responsibilities. Hirers may have responsibilities above and beyond these with regard to insurance and statutory requirements relating to their particular organisation/event.

c) Providing adequate staff to supervise, run and secure of the event detailed for which PVH is hired, including the car park, ensuring staff are familiar with the location and operation of the electrical fuse box/main switch, fire alarm points, fire extinguishers, fire exits, evacuation procedure and the need to keep fire exits free from obstructions.

d) The behaviour of all persons using the premises including supervision of car parking to avoid any highway obstruction.

e) Supervision of the fabric and contents of the premises ensuring their care, safety from damage or change of any sort.

f) Ensuring any electrical equipment brought onto the premises, it is safe for use/has been P.A.T. tested.

g) Making good and paying for all damage (including accidental damage) to the premises, fixtures, fittings, contents and loss of contents during the period of hire no matter how the damage or loss occurred (Note: It is suggested that in the Hirer’s own interests to arrange private insurance to cover all such damage).

2. The Hirer shall not:

2.1 Be a person under 18 years of age.

2.2 Use the premises (including car park and curtilage) for any purpose other than that agreed.

2.3 Sub-hire or use the premises or allow the premises to be used for unlawful or unsuitable purposes or in any unlawful way.

2.4 Do anything or bring onto the premises anything which may endanger the same or render invalid any insurance policies.

2.5 Allow the consumption of alcohol if it is not agreed.

3. PVH shall not:

3.1 Accept any responsibility whatsoever to any damage or loss by fire, theft or from any other cause, to any personal articles or other belongings brought into the building for sale, exhibition or for any other purpose.

3.2 Be liable for any loss due to any breakdown of machinery, electricity supply failure, leakage of water, fire, government restriction or act of God which may cause the premises to be closed or the hire to be interrupted or cancelled.

4. PVH retains the right, at its discretion, to refuse to let the premises, or part, to any person or organisation.

5. The hire of any part of PVH must be in writing. The person named booking PVH shall be considered the Hirer. If an organisation is also named, that organisation shall also be considered the Hirer and be jointly and severally liable to comply with all terms and conditions of Hire.

6. Any damage or security deposit, will be refunded if PVH is left in a satisfactory condition and all terms and conditions have been met. Any breakages or additional cleaning costs will be deducted from the deposit. The Hirer shall be liable for all costs in excess of the deposit. In the event of cancellation any deposit will be refunded at the discretion of the PVH Management Committee.

7. The Hall will be licensed by PVH. The maximum number of persons allowed is as follows: Main Hall 250, Meeting Room 20.

8. The Hirer must be fully aware of the Licensing Act 2003 and comply with these regulations at all times and must abide with the premises licence conditions in relation to all the licensed activities. A copy of the licence is available on request.

9. Where our bar is booked for an event, all drinks consumed during the event must be purchased from the bar, or brought in under a corkage agreement - as agreed and evidenced in writing.

10. Use of fireworks within the grounds is only permitted on Bonfire Night, New Year’s Eve, Diwali and Chinese New Year. They must be quiet by design and cease by 10pm. The hirer is responsible for any consequences that might arise from their use.

11. Hirers are asked to dispose of any waste and rubbish responsibly.

12. Any person hiring the hall is responsible for being aware of and complying with any legislation applicable to the activity for which they hire the hall.

13. The booking of the Hall by any Hirer indicates acceptance of all these Standard Conditions of Hire. These conditions may not be varied in any way unless the Hirer receives written approval for such from the Booking Manager following sanction by a meeting of the PVH Management Committee.
